Summary
- Under general supervision, is responsible for front desk operations and providing support to staff and partners housed at the Family Justice Center.
This position is not covered under Civil Services
Duties and Responsibilities

- Answers and screens all FJC incoming calls;
- Routes calls to appropriate department for assistance;
- Manages FJC staff and partner appointment calendars;
- Manages and updates case management logs used for FJC Calls,
- Intake and Miscellaneous Contacts;
- Manages and updates the intake log for individuals in need of services, including name, date of birth, preferred language and valid telephone number;
- Provides and assists individuals with the completion of Victim and Abuser’s Information Form(s);
- Verifies scheduled appointments and informs staff/partners of arrival;
- Assists victims with the scheduling, cancellation and rescheduling of appointments;
- Assists with entering and updating victim and abuser information in to the web-based database used by the FJC;
- Responsible for verifying victim identification by requesting photo identification;
- Communicates with FJC staff and partners using Outlook email;
- Ensures that the FJC main lobby is neat, and stocked with all forms, information brochures, flyers and any additional approved materials;
- Coordinates housekeeping services as necessary;
- Provides transportation and parking vouchers for individuals receiving services;
- Records the distribution of transportation and parking vouchers;
- Responsible for destroying information forms according to confidentiality standards identified by administrative staff;
- Performs related duties as required.
Minimum Qualifications
-
- Graduation from High School or a General Education Development (GED) certificate, and one (1) year general office experience; or an equivalent combination of education and experience
- Knowledge of English spelling, grammar and punctuation; knowledge of office procedures
- Skill in operating a personal computer, typewriter and basic office equipment
- Ability to accurately enter data and file information; ability to understand and follow verbal and written instructions; ability to establish and maintain effective working relationships with co-workers, County employees and the general public
- Must secure and maintain a favorable background investigation and clearance
- Must clear a pre-employment physical
- May be required to work more than 40 hours during the workweek
Work Environment and Physical Demands:- Physical requirements include lifting/carrying of 10 lbs. occasionally; visual acuity, speech and hearing; hand and eye coordination and manual dexterity necessary to operate computer keyboard and basic office equipment. Subject to lifting, carrying, twisting and reaching to perform essential functions
- Working conditions are in an office environment
