Position Overview: Leader and subject matter expert of the Estate Settlement team. The position requires broad expertise in the administration of estates and terminating trusts. Administers estates and terminating trusts where the bank serves as executor/administrator and may assume responsibility for managing and administering complex fiduciary and agency accounts. Will meet with prospects, COIs, and banking partners to promote estate settlement services and drive future appointments and current business. Prepares and delivers professional oral presentations to external and internal audiences on estate planning and administration. Includes management of Estate Settlement Officer and Estate Settlement Associate. Essential Functions: Manages and administers estates and terminating trusts in accordance with applicable document and state law by: Reviewing Last Will and Testament and/or Trust Document of decedent and available information on assets to determine whether acceptance is appropriate . Locating and communicating with beneficiaries and family members about estate/trust administration process and assets. Ascertaining, marshalling, and securing all estate assets. Hiring and close supervision of all professionals (attorney, CPA, appraisers) necessary to the estate/trust administration. Collecting all necessary information for the Inventory, Appraisal and List of Claims and Form 706 Estate Tax Return, including date of death valuations. Determining and paying decedent's debts. Examining all claims filed for validity. Determining disposition of property according to the terms of the document. Distributing all property according to the terms of the document, including transferring securities, real estate, oil and gas interests, partnership interests, business interests and all other property. Seeking ancillary probate proceedings in other states as necessary. Engaging professionals in other states and closely monitoring their work. Performs a variety of administrative duties including: Reviewing affidavits, leases, deeds, and other legal documents. Serving as subject matter expert on estate/probate law. Reviewing 1040, 1041 and 706 tax returns and supporting documents. Reviewing all transactions including distributions to beneficiaries. Monitoring deposits and withdrawals of assets to trust vault. Arranging for appraisals of real estate, antiques, coins, jewelry, automobiles, stocks, and bonds. Engaging bank partner specialists to review real estate and oil and gas documents. Meeting with Portfolio Manager on disposition of assets and appropriate investment objective. Controlling and maintaining all related files. Manage and direct fiduciary and agency accounts by: Reviewing the client's needs and understanding the client's requirements. Providing clients with pertinent information and assistance regarding matters relating to their account, including, but not limited to taxes, investments, specialty assets and estate planning. Determining the best course of action for the client/trust/estate. Following up and servicing accounts. Closely supervises Estate Settlement Officer and Estate Settlement Associate on all account matters. Serves as estate subject matter expert for department. Partners with advisory team to meet with prospects, COIs, and internal bank partners to promote estate settlement services and drive future appointments and current business. Reviews future appointment documents with advisors and meets with drafting attorney and client as appropriate. Works to retain assets distributed to beneficiaries as appropriate. Engages Wealth Advisors and other team members to meet with retention prospects. Ensures compliance to trust and related regulations. Acts as relationship manager and is responsible for: Establishing and/or maintaining primary contact relationships with targeted customers to maximize the lifetime value of these key relationships. Proactively providing a full range of financial/banking services to customers with the assistance of the appropriate specialists throughout the organization. Building loyalty and driving profitable revenue growth by applying key customer relationship management principles including: Resolving immediate customer concerns and account issues. Actively managing a portfolio of targeted/high-value customers and/or segments of customers. Developing and executing targeted client retention and expansion activities (develop and secure new business from existing portfolio base). Working to ensure that a coordinated and consistent message reaches targeted customers across all delivery/servicing channels. Demonstrating strong solution-oriented sales and communications skills and effectively establishing rapport and credibility with customers. Having a broad knowledge of financial services and products with a customer-centric vision.
