Job Summary

Under immediate supervision, performs administrative and/or clerical duties in support of open records requests and other City records related activities. Assists staff with organizing, tracking, and preparing records in accordance with the Texas Public Information Act. Exercises no supervision.

8:00 a.m. - 5:00 p.m., Monday - Friday

Essential Job Functions

  • Provides administrative and clerical support in processing open records requests in accordance with the Texas Public Information Act.
  • Assists with reviewing incoming open records requests and routing them to the appropriate City departments.
  • Supports City departments by helping compile records and prepare clarification requests as needed.
  • Assists staff with tracking deadlines to ensure required records are provided in a timely manner.
  • Assists with in-person records inspections to ensure requestors are supervised and City procedures are followed.
  • Responds to walk-in inquiries and provides general information to requestors regarding the open records process.
  • Maintains records, logs, and tracking systems related to open records requests.
  • Performs related duties and responsibilities as assigned.

Job Requirements

  • Associate's Degree from an accredited college or university
Preferred Qualifications
  • Experience in records management, document organization and maintaining files
  • Knowledge of the Texas Public Information Act
  • Experience in managing multiple projects with various deadlines.

Applicant Information

  • Unless otherwise stated, applicants are permitted to substitute two years of related full-time experience for one year of higher education or one year of related higher education for two years of experience in order to meet the minimum requirements of the job. One year of full-time experience is defined as 30 or more hours worked per week for 12 months. One year of higher education is defined as 30 credit hours completed at an accredited college or university.

  • Knowledge of records management principles, practices, and techniques
  • Knowledge of computer software and hardware applications
  • Knowledge of general office methods, procedures, and practices
  • Knowledge of local, state, and federal guidelines for records disposal and retention
  • Knowledge of the Freedom of Information Act and Texas Public Information Act regulations
  • Ability to learn City and departmental policies, procedures, and administrative systems
  • Ability to operate a computer keyboard and other basic computer equipment
  • Ability to communicate clearly and effectively
  • Ability to establish and maintain effective working relationships with co-workers, supervisors, and the general public
  • Ability to perform all the physical requirements of the position, with or without accommodations
  • Ability to work primarily in an office environment
