JOB DESCRIPTION: Senior Proposal Specialist

SUMMARY: The Senior Proposal Specialist is a key player in Guido Construction’s success, leading and managing the development of compelling, high-quality proposal responses that help win new contracts and grow our business. The role is responsible for creating persuasive RFQ and RFP responses that showcase Guido’s expertise, capabilities and value to potential clients.

Reporting to the Director of Marketing, the Senior Proposal Specialist supports Business Development and Preconstruction in managing the proposal process from start to finish, ensuring clarity, accuracy and brand consistency. This role is deadline-driven and requires exceptional writing, editing, and organizational skills to manage multiple proposals simultaneously while maintaining communication with leadership. Additionally, the Senior Proposal Specialist will collaborate with the Creative Manager to develop visually compelling materials that reinforce Guido’s brand and competitive edge.

ESSENTIAL DUTIES AND RESPONSIBILITIES: (other duties may be required)

Proposal & Marketing Support:

  • Manage, develop, write, edit and deliver high-quality, on-time RFQ/RFP responses, ensuring compliance with all submission requirements and Guido Construction’s brand standards.
  • Collaborate with Business Development, Preconstruction, and Operations teams to gather key information such as project details, technical content, and team expertise.
  • Lead the proposal development process, structuring responses, incorporating graphics, and ensuring a compelling and professional final product.
  • Maintain and update a library of proposal assets, including project descriptions, team resumes, photography and client references.
  • Track proposal schedules, monitor deadlines, and communicate progress to key stakeholders.
  • Prepare presentations and award submissions.
  • Edit and fact-check proposals in progress, update team resumes, obtain necessary printed materials, and coordinate and deliver bid package submissions.
  • Create and format proposal documents using Adobe InDesign templates, including project sheets, resumes, and marketing materials.

Branding & Content Management:

  • Lead efforts to document and photograph completed projects to enhance RFQ responses and marketing materials.
  • Capture project team insights at closeout to improve future proposal content.
  • Work closely with Business Development to create compelling materials that attract new clients and retain existing ones.
  • Ensure brand consistency across all marketing and proposal materials by coordinating with the Creative Manager. Ensure brand awareness at jobsites, auditing signage and promotional materials.
  • Manage and archive project-related content, including photos, videos, for use in proposals and marketing.

Internal Communications & Administration:

  • Maintain and update company documents, including policy manuals and standard operating procedures.
  • Assist in creating and managing internal communication materials such as newsletters and manuals.
  • Support the management of Guido Construction’s website and social media channels.
  • Assist in ordering and managing marketing supplies, promotional products, and branded materials.
  • Coordinate with external vendors for printing, jobsite signage, and branded collateral.

EDUCATION and/or EXPERIENCE: A bachelor's degree in Marketing, Communications, English, Construction Science, or a related field is required, along with a strong passion for both creative and technical writing. 5+ years of experience in A/E/C marketing, proposal writing, or a similar role required. Industry experience is strongly preferred.

OTHER SKILLS AND ABILITIES:

  • Proficiency in Adobe Creative Suite (InDesign, Photoshop, Illustrator).
  • Strong writing, editing, and proofreading skills, with high attention to detail.
  • Proficiency in Microsoft Office 365 (Outlook, Excel, Word, PowerPoint, Teams, SharePoint).
  • Experience with Unanet/Cosential or related CRM a must
  • Strong organizational and time-management skills, with the ability to manage multiple deadlines effectively.
  • Excellent written and verbal communication skills.
  • Ability to collaborate across departments to support marketing and business development initiatives.

LANGUAGE SKILLS: Bilingual in Spanish and English is not a requirement, but is preferred

CERTIFICATES, LICENSES, REGISTRATIONS: Notary certification is a plus.
