JOB DESCRIPTION: RECEPTIONIST

SUMMARY: The Receptionist fields incoming phone calls, visitors, and applicants and provides administrative and clerical support to all departments.

ESSENTIAL DUTIES AND RESPONSIBILITIES: (other duties may be required)

  • Fields all incoming calls, screens callers, and routes to appropriate employee or department
  • Greets clients and applicants with a positive, helpful attitude
  • Maintains an organized front reception area by distributing packages and mail
  • Emailing project teams copies of certified mail, liens, and lien notices
  • Assist employees with mailing letters, packages, etc.
  • Maintains office supply inventory
  • Maintain conference room calendars
  • Maintain refrigerators in conference and training rooms
  • Maintain common areas like break room, lobby, and bathrooms. Ensure everything is clean and stocked. Dispose of trash in break rooms if full and in between cleaning staff scheduled days
  • Assist with Vendor check process by updating check log and distributing checks
  • Work with Accounts Payable to organize checks in online filing system
  • Maintain check log and distribute weekly
  • Schedule, and plan, on-site luncheons for leadership meetings

EDUCATION and/or EXPERIENCE: High School Diploma is required. At least three years prior experience mid-size corporate company

OTHER SKILLS AND ABILITIES:

  • Proficient in multi-line telephone system
  • Proficient with Microsoft Office Suite
  • Excellent written and verbal communication skills
  • Able to work autonomously and with a team in a fast-paced, high-volume environment
  • Diplomacy and discretion

LANGUAGE SKILLS: Bilingual in Spanish and English is preferred.
