JOB DESCRIPTION: RECEPTIONIST
SUMMARY: The Receptionist fields incoming phone calls, visitors, and applicants and provides administrative and clerical support to all departments.
ESSENTIAL DUTIES AND RESPONSIBILITIES: (other duties may be required)
- Fields all incoming calls, screens callers, and routes to appropriate employee or department
- Greets clients and applicants with a positive, helpful attitude
- Maintains an organized front reception area by distributing packages and mail
- Emailing project teams copies of certified mail, liens, and lien notices
- Assist employees with mailing letters, packages, etc.
- Maintains office supply inventory
- Maintain conference room calendars
- Maintain refrigerators in conference and training rooms
- Maintain common areas like break room, lobby, and bathrooms. Ensure everything is clean and stocked. Dispose of trash in break rooms if full and in between cleaning staff scheduled days
- Assist with Vendor check process by updating check log and distributing checks
- Work with Accounts Payable to organize checks in online filing system
- Maintain check log and distribute weekly
- Schedule, and plan, on-site luncheons for leadership meetings
EDUCATION and/or EXPERIENCE: High School Diploma is required. At least three years prior experience mid-size corporate company
OTHER SKILLS AND ABILITIES:
- Proficient in multi-line telephone system
- Proficient with Microsoft Office Suite
- Excellent written and verbal communication skills
- Able to work autonomously and with a team in a fast-paced, high-volume environment
- Diplomacy and discretion
LANGUAGE SKILLS: Bilingual in Spanish and English is preferred.
