Our Opportunity

Job Title: Assistant Production Manager

Role Summary:

KHBP is looking for a positive, energetic and resourceful person with outstanding communication and organizational skills to be part of the operational backbone of our production team.

You will work with the Production Manager to manage the flow of work through the agency while simultaneously stewarding individual projects from kickoff to completion. Due to the hands-on nature of managing assignments across departments and supporting the Production Manager, this is primarily an in-office role.

Essential Duties:

Traffic management

  • Assist in managing workflow across all active projects, ensuring optimal resource allocation and preventing bottlenecks
  • Help create and maintain production schedules, balancing team capacity with project demands
  • Track project status across the agency and communicate updates to stakeholders
  • Coordinate handoffs between departments (strategy, creative, production, account management)
  • Maintain our project management systems and ensure all information is current and accessible
  • Assist with general agency projects, including on- and off-site tasks and events
  • Flag potential conflicts, capacity issues, or timeline risks before they become problems

Project Management

  • Assist in day-to-day management of assigned projects from brief through delivery
  • Help develop detailed project timelines, identify dependencies, and manage critical paths
  • Facilitate kickoff meetings, status updates, and post-project reviews
  • Serve as a point of contact for production-related questions on your projects
  • Help manage vendor relationships including quotes, contracts, and quality control
  • Track budgets, process invoices, and flag financial concerns
  • Work with team members to coordinate photo shoots, video productions, and other production activities
  • Ensure deliverables meet quality standards and are delivered on time

Cross-Functional Collaboration

  • Partner with Creative Director to understand project requirements and creative vision
  • Work closely with Account teams to manage client expectations and communications
  • Collaborate with Finance on budget tracking and vendor payments
  • Support the Production Manager with special projects and strategic initiatives

Required Qualifications

  • 1-2+ years of experience in production, traffic, or project management (agency experience strongly preferred)
  • Excellent written and verbal communication skills
  • Ability to manage multiple projects simultaneously while maintaining attention to detail
  • Experience with budget tracking and vendor management
  • Proficiency in Google Workspace or Microsoft Office
