JOB DESCRIPTION
JOB TITLE: Alamo Heights Weekend Receptionist
EMPLOYER: Phyllis Browning Company

SUMMARY:
As a Weekend Receptionist at our Luxury Real Estate Office, you will play a pivotal role in creating a world-class first impression for our discerning clientele. You will be the face of our organization, providing exceptional customer service and administrative support that aligns with the luxury standards of our brand. This role demands a polished and professional demeanor, excellent communication skills, and the ability to handle a wide range of responsibilities with grace and efficiency. You will also support our esteemed client’s marketing initiatives by liaising with our in-house Marketing Department. We are looking for a candidate who embodies our commitment to excellence and personalized service, with proficiency in Microsoft Office 365 and Adobe Creative Cloud.

Key Responsibilities:
- Elegant Guest Reception: Create an exquisite welcome experience for clients and visitors, ensuring a warm and attentive greeting. Offer refreshments and ensure a comfortable waiting area.
- Phone Etiquette: Handle incoming calls with the utmost professionalism, directing them to the appropriate agents or departments. Maintain a polished and friendly telephone manner.
- Agent Support: Provide guidance on best practices for efficient platform usage. Assist Agents with Listing Entry on MLS.
- Administrative Support: Provide comprehensive administrative support, including document management, filing, data entry, and proficient use of Microsoft Office Suite for creating luxury property brochures and marketing materials.
- Mail and Deliveries: Handle incoming and outgoing mail and packages, ensuring that all luxury materials are presented in an elegant manner.
- Collaboration: Collaborate with the IT department and to resolve technical issues promptly. Collaborate with the Facilities department to resolve any facilities issues or supply requests.
- Confidentiality: Maintain strict confidentiality regarding client information and real estate transactions.
Qualifications:
- High school diploma or equivalent. A college degree or relevant certification is a plus.
- Proficient computer skills, including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), and the ability to adapt to specialized real estate software.
- Basic skills in Adobe Creative Cloud (Photoshop, InDesign, Illustrator).
- Proven experience as a receptionist or in a luxury customer service role.
- Strong communication and organizational skills.
- Ability to multitask and prioritize.
- Impeccable grooming, attire, and presentation.
- Exceptional verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Ability to handle sensitive and confidential information with the utmost discretion.
- A passion for luxury lifestyle and real estate.
Preferred Qualifications:
- Prior experience in a luxury real estate or hospitality setting.
- Familiarity with luxury property listings, high-end real estate markets and marketing materials.
Working Conditions:
