Raba Kistner is seeking a detail-oriented, dependable Benefits Specialist & Payroll Assistant to join our corporate team in San Antonio, TX. The Benefits Specialist and Payroll Assistant is primarily responsible for administering activities relating to the company benefits, payroll, and HRIS processing including implementing and monitoring data controls, under general direction of the Payroll and Benefits Manager. Other responsibilities include:

  • Administer all employee benefit programs including enrollments and termination under general direction of the Payroll and Benefits Manager.
  • Coordinate, organize, and facilitate employee benefit-related events, including annual open enrollment meetings, flu vaccination clinics, biometric screening events, wellness initiatives, and other employee benefit education programs under the general direction of the Payroll and Benefits Manager
  • Present and communicate payroll and benefit program information to employees through group meetings, orientations, workshops, and/or individual consultations under general direction of the Payroll and Benefits Manager
  • Represent the Payroll and Benefits Department during New Employee Orientation (NEO) sessions by presenting payroll, benefits, retirement, leave, and related information to newly hired employees.
  • Assist with the planning, coordination, and implementation of employee communication and engagement initiatives related to payroll and benefits.
  • Support annual open enrollment process within the company.
  • Address benefit inquiries including benefit claim inquiries to ensure timely and accurate resolutions.
  • Process and review monthly billing from providers for accuracy and approve payment in a timely manner.
  • Responsible for the ACA reports and compliance within the payroll system.
  • Process new hires within the payroll system, send correspondence to new hire, welcoming, SPD, ID cards, etc.
  • Prepare new hire paperwork necessary for Payroll use.
  • Handle COBRA within the payroll system for eligible termed employees or dependents reaching the ineligible age. Monitor COBRA payments.
  • Document claims data, medical, prescription, stop loss, flexible spending, dental.
  • Process written employment verification requests, wage verification for worker’s compensation claims and unemployment claims.
  • Prepare, process, review, and submit certified payroll reports for prevailing wage and government funded projects, ensuring compliance with federal, state, and contract-specific requirements.
  • Assist with processing payroll for hourly and salaried employees; including reviewing and importing hours from time and attendance system, extract employee information from payroll system to import into accounting system, administering regulatory requirements, e.g., garnishments, tax levies, and support orders, create and process Promissory Notes, e.g., vehicle damage, company equipment, etc., and other adjustments to pay as necessary.
  • Assist with maintaining employee records in payroll/HRIS systems.
  • Assist with maintaining employee PTO, including Emergency PTO Bank.
  • Assist with resolving employee payroll issues as required.
  • Assist with verifying payroll changes to new, current and terminated employees.
  • Assist in producing scheduled and ad-hoc reports pertaining to payroll and human resources requirements.
  • Maintain complete employee payroll files, health files, records, and other documentation for employees as it relates to benefits.
  • Retrieve and process daily mail for the department and distribute.
  • Perform other duties as assigned.

Qualifications:

  • Bachelor’s Degree in Accounting, Finance, Human Resources, or related field from an accredited four year university or college
  • Three (3) to five (5) years of related experience preferably in the professional service industry.
  • CEBS, CPP and/or SHRM-CP certification preferred.

Intermediate to advanced experience in Microsoft Suite, Payroll Systems, & HRIS software. Excellent written and verbal communication skills.

This position may require protracted or irregular hours. Flexibility to work irregular hours is necessary due to client needs. Work responsibilities may require out of town travel to Raba Kistner offices, client offices and project locations.
