Under minimal supervision, ensure all elements of scheduling/registration has been completed prior to the date of the appointment. Responsible for being knowledgeable of multiple providers and special requests for one or more clinics. May be responsible for position orientation and training new staff while also having responsibility for front desk support.
  • Demonstrates the ability to support the mission, vision and patient promise throughout all interactions the UT Health Way.
  • Demonstrates analytical thinking, this role requires analyzing information and using logic to coordinate work within schedule constraints and handle emergent requirements in a timely manner.
  • Demonstrates creativity and alternative thinking; able to develop new ideas supportive of the UT Health Way.
  • Proficient computer skills using Microsoft Office and database programs.
  • Excellent verbal, written and interpersonal communication skills.
  • Ability to prioritize messages based on urgency.

Education:

  • High school diploma or GED is required.

  • Coordinates access center staff; works, monitors and reports on all work queues in Epic for clinical enterprise.
  • Calls and schedules referred, bumped and pending patients into necessary clinics/specialties.
  • Verifies all elements of registration and insurance information for established patients at each point of patient contact, updating when necessary; reviews patient's insurance coverage and requested services, notifies patient of required service authorization or referral, and explains the patient role in the referral process.
  • Schedules appointments in computer system following procedures; completes all necessary fields including but not limited to: appointment notes (complete reason for visit), referral source, Primary Care provider, preferred language; assigns correct coverage and guarantor.
  • Reviews copay amount (specific for scheduled service) and any outstanding balance with patient.
  • Answers questions from access center staff.
  • Performs all other duties as assigned.
