The Patient Admission Supervisor oversees the daily operations of hospital patient access and admissions functions, including registration, insurance verification, pre-authorization, point-of-service collections, scheduling support, and financial counseling. This role ensures the accuracy of patient information, regulatory compliance, and a high standard of customer service while supporting overall revenue cycle performance. Provides operational supervision, staff training, workflow analysis, and quality oversight to promote efficient and effective departmental processes. Monitors productivity and performance metrics, supports data management and reporting, and collaborates with clinical departments, billing, and case management to optimize patient flow and financial clearance. Maintains confidentiality while fostering positive staff and patient relations.
- In-depth knowledge of hospital revenue cycle processes, including registration, insurance verification, prior authorization, and point-of-service collections.
- Working knowledge of Medicare, Medicaid, commercial insurance, and managed care guidelines, as well as regulatory requirements such as EMTALA and HIPAA.
- Strong leadership and supervisory skills with the ability to motivate, coach, and develop staff in a fast-paced, high-volume environment.
- Excellent verbal and written communication skills, with the ability to effectively engage patients, staff, and interdisciplinary stakeholders.
- Demonstrated ability to analyze operational data, monitor performance metrics, and implement process improvements to enhance efficiency and outcomes.
- Strong customer service and patient engagement skills, with a focus on patient satisfaction and service excellence.
- Ability to remain calm and effective under pressure while managing competing priorities and supporting team performance.
- High level of accuracy and attention to detail, with advanced proficiency in Microsoft Office applications and electronic health record systems (e.g., EPIC preferred); bilingual (English/Spanish) preferred.
- Must complete 3 hours of elective continuing education provided by UT Health San Antonio per year.
Education:
Bachelor's degree required.
- Supervise daily operations of patient access functions, including registration, pre-registration, insurance verification, authorization, financial clearance, and point-of-service collections.
- Coordinate staffing schedules and coverage to ensure efficient operations, including providing support for high-volume periods, staff absences, and critical coverage needs.
- Monitor patient throughput, registration turnaround times, and financial clearance processes to support patient flow and optimize revenue cycle performance.
- Ensure accuracy and completeness of patient registrations, insurance eligibility verification, authorizations, and medical necessity requirements prior to services.
- Lead, coach, and mentor patient access staff, including registrars, schedulers, and financial counselors, to promote a high-performing, patient-centered team.
- Conduct hiring, onboarding, training, performance evaluations, and corrective actions in alignment with organizational policies and procedures.
- Develop, implement, and maintain training programs, materials, and schedules for new hires and ongoing staff development; track and evaluate training effectiveness.
- Monitor staff productivity, quality, and key performance indicators (KPIs); conduct routine quality assurance (QA) audits and provide actionable feedback to improve performance.
- Analyze operational and performance data to identify trends, resolve issues, and implement process improvements to enhance efficiency and service quality.
- Ensure compliance with federal and state regulations (e.g., HIPAA, EMTALA), payer requirements, and organizational policies and procedures.
- Serve as a liaison between patient access, clinical departments, and leadership to resolve patient issues, scheduling conflicts, and workflow challenges.
- Support the Patient Access Manager with departmental initiatives, reporting, staff development, and after-hours operational needs as required.
