The Breast Imaging Coordinator provides administrative and clinical coordination support within an outpatient breast imaging center. Ensures accurate scheduling, documentation, and tracking of patient imaging, biopsy, pathology, and follow-up care in accordance with MQSA and FDA guidelines. The Coordinator reviews orders, retrieves external imaging, monitors BI-RADS follow-up requirements, and facilitates timely communication between patients, radiologists, and referring providers. Promotes efficient workflows, regulatory compliance, and seamless care coordination while supporting a high-quality patient experience aligned with institutional standards.

- Working knowledge of MQSA/FDA follow-up documentation and patient notification requirements.
- Proficiency in EMR and PACS systems for scheduling, documentation, image retrieval, and report tracking.
- Strong organizational skills with ability to manage multiple patient cases, recalls, and follow-ups simultaneously.
- High attention to detail to ensure completeness and accuracy of patient records, orders, and reports.
- Strong verbal and written communication skills to interact effectively with patients, physicians, and clinical staff.
- Ability to coordinate care across internal departments and external physician offices. Analytical thinking skills to identify missing documentation, incomplete orders, or gaps in follow-up care.
- Ability to maintain confidentiality and handle sensitive patient information in compliance with HIPAA.
- Demonstrates initiative and problem-solving skills in resolving scheduling, documentation, and communication barriers.
- Ability to work independently within established protocols while collaborating in a team-based clinical environment.
Education
- High School Diploma or Equivalent
- Review, organize, and validate completeness of imaging orders, patient histories, and supporting documentation prior to appointments.
- Schedule and coordinate breast imaging, breast interventional, and breast MRI appointments using the EMR.
- Track patient follow-up care in accordance with MQSA/FDA guidelines and internal breast center protocols.
- Generate and distribute required patient and physician notification letters per regulatory requirements.
- Communicate results and follow-up instructions to patients and referring providers as directed by radiologists.
- Obtain, verify, and document receipt of imaging orders from referring physicians.
- Research, retrieve, and upload external imaging and reports into PACS/EMR to ensure availability for interpretation.
- Maintain tracking logs for biopsies, surgical outcomes, recalls, and pending pathology results. Enter and update pathology and follow-up information accurately in the EMR.
- Monitor BI-RADS follow-up recommendations and ensure timely scheduling of additional imaging or procedures.
- Contact patients and physician offices to coordinate care, clarify orders, and resolve missing documentation.
- Provide logistical support to Breast Imaging Radiologists to promote efficient patient throughput.
- Assist with preparation of daily schedules by confirming completeness of images, reports, and required documentation.
- Support interdepartmental communication to ensure seamless patient transitions between imaging, surgery, and referring providers.
- Maintain organized electronic and paper documentation in support of compliance and audit readiness.
- Provide patient assistance and guidance during clinic visits as needed.
- Participate in departmental meetings and quality initiatives to improve workflow and patient experience.
- Perform other duties as assigned to support Breast Center operations.
