JOB SUMMARY

Assist with HR administrative associate onboarding processing; process associate onboarding checklist; update and maintain employee files and payroll records; perform a variety of routine clerical duties; prepare monthly benefit reconciliation reports; process employee time cards; receive and distributes correspondence; photocopy materials; maintain files; answer telephone and assist with human resource questions or concerns; promote and maintain good employee relations; ensure labor law compliance.

ESSENTIAL DUTIES

The duties listed below may not include all responsibilities that the person in this role may be asked to perform. Incumbent may be required to perform other related duties as assigned.

1. Process the New Hire Checklist steps

2. Process of new hires, transfers, promotions and terminations is accurate and timely

3. Assist in processing payroll and maintain payroll records

4. Manage workflow to ensure all payroll transactions are processed accurately and timely

5. Assist with the preparation of monthly benefit reconciliation reports

6. Create and run entries for the monthly payroll reports

7. Process employee timecards; review and compare with absence reports; ensure information is accurate and complete

8. Hold administrative access to all onboarding and benefits online portals for inquiries

9. Administrate employee onboarding, including background checks, I9’s, and drug testing, changes and offer cancellations

10. Administrate employee benefits, including enrollments, changes and cancellations

11. Assist with the coordination of all HR Annual projects and events

12. Assist with maintaining ACA and HR Audit Compliance items

13. Send monthly report of Newsletter items to Vantage Connect

14. Prepare reports for tracking employees’ eligibility under the Affordable Care Act (ACA)

15. Route incoming and outgoing correspondence to the appropriate individuals/departments

16. Archive or pull documents from employee personnel files as requested

17. Unlock users when disabled from Paylocity or HR Platforms

18. Cross train in other HR functions as deemed appropriate to perform as a backup for other related duties

19. Perform routine clerical duties such as copying, faxing, mailing, and filing of employee documents

20. Provide HR support to all departments and effective employee service and relations; assist in resolving employee questions or inquires

21. Gather and calculate data related to payroll and benefits and prepare a variety of monthly, quarterly, annual, and board reports for management as requested; ensure reports are accurate, complete and prepared on schedule

22. Tabulate and post data in employee personnel files and record books; set up and maintain central files and journals

23. Maintain a high level of confidentiality with all Human Resources related information

24. Various other duties and projects as assigned

Requirements

These specifications are general guidelines based on the minimum experience normally considered essential to the satisfactory performance of this position.   • Bachelor’s degree in Human Resources, Business Administration (or equivalent experience)
  • At least 2 years of human resource generalist experience required, with strategic, talent management, and/or business development experience highly preferred
  • Excellent organizational skills and attention to detail.
  • Strong analytical and problem-solving skills.
  • Ability to meet deadlines with competing priorities
  • Thorough knowledge of employment-related laws and regulations.
  • Knowledge of and experience with varied human resource information systems.
  • Bilingual— English/Spanish (preferred)
  • Ability to handle matters of confidential or sensitive nature
  • Proficient with Microsoft Office Suite or related software
  • Ability to work with minimal supervision while performing assigned duties
  • Demonstrates resourcefulness in acquiring data/information to complete projects
  • Must have ability to work in a fast-paced environment without compromising quality.
  • Need to have flexibility in scheduling. Must work until completion of daily functions.
  • Versatility, flexibility, and a willingness to work constantly changing priorities with enthusiasm.
